The Forest Preserve District of Will County is accepting resumes for an Administrative Assistant in the Planning and Land Preservation Department at the Sugar Creek Administration Center in Joliet, IL. This part-time position is responsible for assisting with the day-to-day Planning and Land Preservation Department administrative activities.

Basic function

The Administrative Assistant – Part Time will assist in the day-to-day Planning and Land Preservation Department administrative activities.

Reports to:

Essential duties and responsibilities

  1. Coordinate and order property-related documentation including surveys, appraisals, boundary signage, and title reports.
  2. Assist in the preparation and organization of annual reports and Board documents.
  3. Maintain and organize departmental reference materials and records library.
  4. Perform tract data entry and maintain accurate land and preserve records and filing systems.
  5. Assist Staff with administrative work related to Bidding and Request for Professional Services.
  6. Provide field assistance for departmental projects and property documentation as needed.
  7. Coordinate departmental clothing and supply orders.
  8. Prepare and record official documents as required.
  9. Assist with the Management and processing of Special Use Permit requests, including Forest Preserve District of Will County permits and research requests.
  10. Enter and maintain license agreement data and related records.
  11. Track and coordinate property tax matters, including tax documentation and related filings.
  12. Coordinate correspondence and documentation related to solar farm projects.
  13. Prepare and submit tax-exempt applications for applicable District properties.

  • Current knowledge and skill in Adobe Creative Suite, and basic computer skills in Microsoft Office products.
  • Possess and maintain a current and valid Motor Vehicle Operator's license is preferred. An ideal candidate would be able to assist with the daily operations of the Planning and Land Preservation Department, including travel throughout Will County to Forest Preserve facilities and properties and, as needed, to attend meetings, visit project sites, meet with governmental agencies and other partners, and coordinate with consultants and other professional service providers. 

Training and experience

Minimum requirements include:

  • High School Diploma or equivalent (GED).
  • Six months of related experience.
  • Ability to communicate in a friendly, energetic, respectful, and professional manner.
  • Possess and maintain a current and valid Motor Vehicle Operator's license is preferred. An ideal candidate would be able to assist with the daily operations of the Planning and Land Preservation Department, including travel throughout Will County to Forest Preserve facilities and properties and, as needed, to attend meetings, visit project sites, meet with governmental agencies and other partners, and coordinate with consultants and other professional service providers.

Pay range, benefits, and other information

This 40-hour/week position entails working Monday - Friday with the possibility/option to work flexible weekday, evening, and weekend shifts. Occasional extended hours and weekend workdays will be required. This position includes the option of a maximum of 16 hours of remote work per week, after 6 months per the District’s remote work policy, subject to the supervisor’s approval.

Pay range, annual salary, and benefits

This position requires 16-24 hours a work week. The facility is open Monday - Friday from 8:00 am to 4:00 pm. This position is flexible with days and hours worked but would typically fall within the hours the facility is open, with potential evening or weekend hours for special events. 

Grade: 6

  • Grade Range: $18.22 – 25.16
  • Salary: Starting at $18.50 / hour
